Privacy Policy

Last updated: 13 August 2026

Sam Oyugi Solutions Limited ("we", "us", "our") operates the SOS_CLOUD service and this website. This Privacy Policy explains what information SOS_CLOUD and our websites collect, how we use it, who we share it with, how long we keep it, and how you can contact us or request deletion.

1. Information we collect

Information you provide

When you contact us (email, phone, contact forms, WhatsApp), sign up for a service, or use SOS_CLOUD features, you may provide personal information such as your name, email address, phone number, postal address, organisation name, survey answers, and any messages you send.

Automatic and technical information

We automatically collect information when you use our website and services, including IP address, device and browser characteristics, operating system, referral source, pages visited, and timestamps. For surveys and coverage mapping, your browser may provide latitude/longitude (geolocation) only after you explicitly allow it.

Third-party sources

We may receive information from third-party service providers (payment processors, analytics providers, messaging platforms) and from public sources to enrich or verify information you provided.

2. WhatsApp and Meta data handling

We use WhatsApp (a service provided by Meta Platforms, Inc.) to communicate with customers where requested. WhatsApp messages and related metadata (phone number, timestamps, message content, media you send) are exchanged via WhatsApp's platform. We do not control Meta's collection or use of data through WhatsApp — Meta is a separate controller/processor for the WhatsApp service.

What we store: when you message us on WhatsApp we may store your phone number, message text, files you send, and any notes our staff add to your enquiry in our systems (including SOS_CLOUD). We retain WhatsApp conversation content only as long as needed to fulfil the purpose (support, service delivery, billing, or as required by law).

What Meta collects: Meta may process metadata and message routing information as described in Meta's own privacy policies. You should consult WhatsApp/Meta's privacy documentation for details: WhatsApp Privacy Policy.

If we use WhatsApp Business API or other Meta-hosted integrations, certain message content and identifiers may be visible to Meta and their processors. We take steps to minimise data sharing and only use required fields to provide service.

3. How we use information

We use personal information to:

  • respond to enquiries and provide customer support;
  • deliver and maintain services (including SOS_CLOUD and coverage surveys);
  • send transactional messages such as service updates and invoices;
  • improve our products, analytics and security;
  • comply with legal obligations and prevent fraud.

4. Legal basis

If you are in a jurisdiction that requires a legal basis for processing, we rely on your consent, performance of a contract, our legitimate interests (providing and improving services, fraud prevention), and compliance with legal obligations.

5. Sharing and third parties

We do not sell personal information. We share data with third-party service providers who perform functions on our behalf (hosting, payment processing, messaging providers, analytics). These providers are only given the data necessary to perform their function and must process it according to our instructions and applicable law.

6. Data retention

We retain personal information only as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Typical retention periods:

  • Support and WhatsApp conversations: retained for up to 2 years unless you request earlier deletion;
  • Billing and invoices: retained for at least 7 years for tax and accounting compliance;
  • Survey and coverage data: retained until you request deletion or as required for service analytics (defaults vary by dataset).

7. Your rights and choices

You may request access to, correction of, or deletion of your personal information by contacting us at the email below. We will respond within a reasonable timeframe and as required by applicable law. If deletion is requested, we will delete data from active systems and retain only limited records where required by law.

8. Deleting and exporting your data

To request deletion or a copy of your data, email info@samoyugisolutions.com with the subject line “Data request”. Include the email address or phone number you used to contact us. We may need to verify your identity before fulfilling requests.

9. Security

We use reasonable technical and organisational measures to protect personal data. However, no system is perfectly secure; please take care when transmitting sensitive data and avoid sharing unnecessary sensitive information in messages.

10. International transfers

Our systems and third-party providers may process and store data in countries other than your own. When we transfer personal data internationally we use appropriate safeguards required by law.

11. Cookies and tracking

We use cookies and third-party services (analytics, social links) to operate the site and understand usage. You can control cookies through your browser settings. For details about cookies used, see [site cookie settings](/) or contact us.

12. Third-party links

Links to third-party sites (including Meta/WhatsApp) are not covered by this policy. We recommend you review the privacy policies of third parties before providing personal information.

13. Children

Our services are not intended for children under 13. We do not knowingly collect personal data from children under 13. If we learn we collected such data, we will take steps to delete it.

14. Changes to this policy

We may update this policy from time to time. When material changes occur we will post a prominent notice and update the “Last updated” date above.
